Understanding how waitlists work in Venice is the best way to stay ahead of the curve. Here are five things every family needs to know.

1. Venice is in High Demand (And Not Just During Snowbird Season)

It’s no secret that Florida is a retirement mecca, but Venice has its own unique draw. Unlike the high-rise feel of some parts of Sarasota or the sprawling nature of Lakewood Ranch, Venice offers a "small-town" coastal feel that many seniors crave.

Because of this, the best assisted living communities in Venice often maintain high occupancy rates year-round. While some areas see a dip in demand during the summer, Venice stays consistently busy. When you're looking at boutique care homes or premier assisted living facilities near the Island, you should go in with the expectation that there might be a wait.

Being proactive is your best tool. If you think a move might be necessary in the next six to twelve months, now is the time to start touring. Waiting until a fall or a medical crisis happens usually means you'll have to settle for whatever is available right now, rather than what’s best for your loved one.

2. Private Pay vs. Medicaid Waitlists: They Are Not the Same

One of the biggest points of confusion for families is the difference between a private pay waitlist and the Florida Medicaid waitlist.

  • Private Pay Waitlists: If you are paying out of pocket, the waitlist is managed by the individual facility. Usually, you’ll pay a refundable (or sometimes non-refundable) deposit to hold your spot in line. These lists move based on when a room becomes available.
  • Medicaid (SMMC-LTC) Waitlists: If your loved one requires financial assistance through Florida’s Long-Term Care Managed Care program, the "waitlist" is actually a state-managed system. In Florida, there is a massive queue for these benefits.

As of 2026, the demand for state-funded assisted living remains incredibly high. It is vital to know that simply being "next in line" isn't how the state list works. This leads us to our next point.

3. The Medicaid Waitlist is a Triage System, Not a "Line"

Most people assume that if they are number 500 on a waitlist, they just have to wait for 499 people to move through. Unfortunately, Florida’s Department of Elder Affairs uses a triage system for Medicaid benefits.

This means the state prioritizes the "sickest and neediest" first. They use a screening tool to assign a priority level (usually 1 through 5). If someone is a Priority 5 (the highest need), they will jump over someone who has been waiting longer but is a Priority 3.

If you are looking for assisted living costs and planning to use Medicaid, you need to be prepared for the reality that your loved one might stay on that list for a long time if they are relatively stable. The state often prioritizes keeping people in their own homes with home-health services before they move them into a facility setting off the waitlist.

4. The "60-Day Nursing Home" Strategy

This is a piece of insider knowledge that many Venice families aren't aware of. While the Medicaid waitlist for assisted living can be years long, there is a specific pathway to bypass it.

In Florida, if an elder spends 60 consecutive days in a skilled nursing facility and is then discharged to an assisted living facility, they can often bypass the standard long-term care waitlist. This is known as a "transition" case.

This isn't a strategy you should try to navigate alone, as it involves very specific Medicaid eligibility rules and coordination between the nursing home and the assisted living facility. However, if your loved one is currently in a nursing home for rehab after a hospital stay, it is worth discussing this option immediately to see if they qualify for a faster transition into a permanent assisted living spot.

5. Waitlist Deposits: Read the Fine Print

When a Venice community tells you they have a waitlist, they will likely ask for a deposit to put your name on it. This can range from a few hundred to a few thousand dollars.

Before you write that check, you need to ask three critical questions:

  1. Is this deposit refundable? If you find another community that has an immediate opening, will you get this money back?
  2. Does this deposit apply to the community fee? Most facilities charge a one-time "community fee" or "move-in fee." Usually, your waitlist deposit is credited toward that amount.
  3. What happens if I pass? If a room opens up but your loved one isn't ready to move yet, do you lose your spot, or can you "pass" and stay at the top of the list for the next available room?

In a competitive market like Venice, being on two or three waitlists is a common strategy, but it can get expensive if those deposits aren't refundable.
