When you start looking for memory care in Sarasota, the first thing you’ll notice is how beautiful the facilities are. We live in a stunning part of Florida, and many of our local communities look more like five-star resorts than healthcare providers. You’ll see the manicured courtyards, the grand pianos in the lobby, and the chef-prepared menus.
But here’s the truth that I tell every family I work with at Assisted Living Locators of Sarasota: You can’t judge the quality of a loved one’s life by the thread count of the lobby carpet.
The most critical factor in your loved one’s safety and happiness is the people who are with them at 2:00 AM when they are confused, or at 4:00 PM during "sundowning" hours. Staffing is the heartbeat of any assisted living in Sarasota, yet it’s often the one thing facilities are most vague about during a tour.
In this post, I’m going to pull back the curtain. I want to share the "secrets" of staffing that most facilities won’t volunteer, and show you how we vet these communities to ensure your family gets the quality care you’re paying for.
The "Minimum" Trap: What Florida Law Actually Requires
Most families assume that if a facility is licensed, it must have plenty of staff on hand. While Florida does have regulations, they might be lower than you expect.
Florida law mandates minimum staffing hours based on the number of residents. For example, a facility with 26 to 35 residents is only required to provide 294 staff hours per week. If you do the math, that’s about 42 hours of staff time per day for the entire building. When you divide that among three shifts, you realize how thin the coverage can get if a community is only doing the bare minimum.
In a memory care Sarasota environment, "minimum" is rarely enough. Residents with Alzheimer’s or dementia require much more "eyes-on" time than those in standard assisted living.
The "Awake" Rule
Here is a secret many don’t realize: In Florida, facilities with 17 or more residents must have at least one staff member awake at all times. But if a facility has fewer than 17 residents? That staff member might be allowed to sleep, as long as they are "available." When you’re dealing with a resident who wanders at night, "available" isn't the same as "alert and watching."

Secret #1: The "Agency" Shuffle
When you tour a facility, the staff you see smiling in the hallway might not actually work for that company. Because of the labor shortage in healthcare, many communities rely heavily on "agency staffing." These are temporary workers brought in to fill gaps.
Why does this matter?
- Consistency: Residents with memory loss thrive on routine and familiar faces. Seeing a stranger every other day can increase anxiety and agitation.
- Training: While agency staff are licensed, they don’t know your mom’s specific quirks. They don’t know that she likes her tea with two sugars or that she gets scared of the shadows in the hallway.
When we vet a facility, we ask about their "use of agency." A high reliance on temporary staff is often a red flag for deeper management issues or high turnover.
Secret #2: Training vs. Certification
Every memory care facility in Sarasota will tell you their staff is "trained." But you have to dig deeper. Florida requires specific dementia care training, but there is a big difference between watching a two-hour video and having a staff that is truly specialized.
We look for communities that invest in ongoing education: things like the "Teepa Snow" method or "Positive Approach to Care." We want to see that the staff understands the why behind the behavior, not just how to check off a task on a list.
Secret #3: The "Invisible" Staff
When a facility quotes you a "staff-to-resident ratio," they often include people who don't provide direct care. They might count the administrator, the chef, or the maintenance man in that ratio.
While those people are important, they aren't the ones helping your father get dressed or reminding him to eat. You want to know the direct care ratio: the number of Certified Nursing Assistants (CNAs) or caregivers actually on the floor at any given time.

How We Vet Communities (Our "Secret Sauce")
At Assisted Living Locators of Sarasota, we don’t just look at the marketing brochures. Because I’m local and I’m in these buildings every week, I see what happens when the "tour" is over.
Here is how we screen for quality:
- The "Unscheduled" Visit: We drop in at different times. A facility looks great at 10:00 AM on a Tuesday. How does it look at 6:00 PM on a Sunday when the executive director is home?
- Checking the Public Record: We look at state surveys and deficiency reports. Facilities are required to make their staffing schedules available upon request. We know how to read between the lines of those schedules to see if they are consistently hitting their marks.
- Staff Longevity: I love seeing a caregiver who has been at the same building for five or ten years. That tells me the management treats their people well, which translates to better care for your loved one.
- Resident Appearance: It sounds simple, but we look at the residents. Are they groomed? Are their clothes clean? Are they engaged in an activity, or just sitting in front of a TV? This is the clearest indicator of whether there is enough staff to go around.
If you’re worried about the financial side of these differences, check out our guide on memory care costs to see how staffing levels often correlate with the monthly rate.
Questions You Should Ask on Your Tour
Don't be afraid to be the "difficult" family member. This is your loved one’s life. When you visit a Sarasota memory care or assisted living facility, ask these direct questions:
- "What is your direct care staff-to-resident ratio on the night shift?"
- "How many agency staff members are on the schedule today?"
- "Can I see your last two weeks of staffing schedules?" (They are required to show you if you ask!)
- "What specific dementia-certified training does your staff undergo annually?"
- "Who is the staff member on-site right now with current First Aid and CPR certification?" (There must be one at all times.)

Why You Need a Local Advocate
The search for assisted living in Sarasota is overwhelming. There are dozens of options, and they all claim to be the best.
I started Assisted Living Locators of Sarasota because I saw too many families making decisions based on emotion and aesthetics, rather than the reality of care. We serve as your eyes and ears. We know which facilities have had a recent change in management (which usually leads to staffing turnover) and which ones are currently under-staffed.
The best part? Our service is 100% free to families.
We are compensated by the senior living communities, which allows us to provide expert, boots-on-the-ground guidance to you at no cost. We help you navigate the different care types, schedule tours, and ask the hard questions that facilities might not want to answer.
